For popular events, it is quite useful to have a waitlist option for your tickets. In the upgraded BookCPD website, the waitlist can be enabled or disabled on a ticket-by-ticket basis.
Before going into the details of how to enable it, let us also discuss Approval Mode.
ⓘ For some events, the organiser may prefer to only approve candidates when they meet certain selection criteria. The same waitlist feature can also be used for Approval Mode. This is explained later in this how-to.
Enabling the Waitlist
Enable the Waitlist on Your Ticket
Go to your Tickets and click edit. The waitlist can be enabled on a per ticket basis using the option shown towards the bottom of the dialogue box. Click enable waitlist and enter the maximum waitlist quantity. Click save.
When the Waitlist Activates
When all tickets are sold out, the waitlist is automatically activated. Delegates will be able to register on the waitlist. You will be notified when someone registers. Delegates can only register for one place on the waitlist.
Managing the Waitlist
Access Waitlist Management
Go to your Event Dashboard and click on Waitlist Management. Here, all the details about each delegate on the waitlist are shown.
View Delegate Details
Click the icon showing the people symbol to open a dialogue box with the name and email of the delegate. Click More Info to see the full registration details.
Approve or Reject the Delegate
From this screen you can Approve or Reject the delegate. An email is automatically sent to the approved delegate with a link to complete their payment.
⚠ When tickets are full and you approve a delegate, the system will allow it, although a warning will be shown that the ticket is full.
Approval Mode
Set Up Approval Mode
For events where you want to screen candidates before approving their registration, set the number of available tickets to 0 and enable the waitlist. You can also set a maximum waitlist number. All candidates will then go onto the waitlist automatically.
Using the Event Dashboard, you can view the full registration details of each candidate and only approve those who meet your selection criteria.
ⓘ Approval Mode uses the same waitlist feature. By setting ticket quantity to 0 and enabling waitlist you acheive Approval mode
